Tutoring Victoria – Terms and Conditions

By booking and participating in any tutoring services provided by Tutoring Victoria Pty Ltd, you agree to the following Terms and Conditions. These terms apply to all students and parents/guardians engaging with our services, whether for trial or ongoing sessions.

1. Bookings and Payment

All tutoring sessions must be booked through our official scheduling platform.

If preferred, a session can also be arranged directly by our team on your behalf—simply contact us via phone or email to request a booking.

A valid payment method is required at the time of booking.

A $20 trial session is available for new students. This offer is limited to one per student.

Please note that Halaxy, our booking provider, applies a small processing fee to each invoice, which is included in the total amount payable by the parent or guardian.

2. Trial Session and Ongoing Bookings

After your trial session, you may choose to continue with regular tutoring.

If you continue after the trial, your original payment method will be charged for subsequent sessions, according to your selected schedule.

If you decide not to continue, your payment method will be immediately removed and no further charges will occur.

You must notify us in writing (email or message) within 72 hours after the trial session if you do not wish to continue.

3. Cancellation and Rescheduling Policy

We require a minimum of 6 hours’ notice for any cancellations or rescheduling of sessions.

Sessions cancelled with more than 6 hours’ notice can be rescheduled or credited.

Sessions cancelled with less than 6 hours’ notice will be charged in full. This also applies to no-shows.

Exceptions may be granted in cases of emergency at the discretion of Tutoring Victoria. 

4. Tutor Availability and Substitutions

While we aim to keep your assigned tutor consistent, there may be occasions (e.g. due to illness or scheduling conflicts) when your regular tutor is unavailable.

In such cases, we will offer another tutor to take the session. You will be notified in advance whenever possible.

5. Student Conduct

Students are expected to arrive on time and be prepared with necessary materials.

Disruptive, inappropriate, or disrespectful behaviour may result in the suspension or termination of tutoring services.

6. Parent/Guardian Responsibilities

For students under 18, a parent or guardian is responsible for communication, scheduling, and payments.

We may share session updates or concerns with the responsible parent/guardian.

7. Limitation of Liability

While our tutors strive to help each student improve, Tutoring Victoria does not guarantee specific academic results.

We are not liable for any loss, damage, or injury arising from participation in tutoring sessions.

8. Privacy and Data Use

All personal information, including names, contact details, and session records, is stored securely and used solely for the purpose of delivering tutoring services and maintaining communication.

Payment details, including credit or debit card information, are securely processed and stored through our third-party booking platform. Tutoring Victoria does not have access to your full card information at any time.

Your saved payment method can only be used to process authorised bookings made through our system.

We do not share your information with third parties except where required to provide our services or comply with legal obligations.

9. Policy Updates

These Terms and Conditions may be updated at any time. Continued use of our services constitutes acceptance of any changes.
